CAMCORDER WEDDINGS — TERMS & CONDITIONS

These terms and conditions are provided in the interests of both "the Client", defined as the couple named on the booking form, and Camcorder Weddings (Anna Downing) ("the Videographer"), a trading name of Anna Pumer Photography Ltd ("the Company").

Please ensure that you have read and understood these terms before placing your booking. The Client is deemed to have accepted these terms and conditions in full upon signing the booking form and making the payment applicable to their package under Section 9.

These terms represent the total agreement made between the parties and cannot be varied by the Client unless expressly agreed by the Videographer in writing.

1. THE CAMCORDER WEDDING FILM

1.1 The Camcorder Weddings service is designed to create a fun, nostalgic and informal record of the wedding day using consumer camcorders and the characteristic aesthetic associated with home video from the 1990s and 2000s.

1.2 The service is offered under three packages — Director's Cut, Double Feature and Pass the Camcorder — as set out in Section 8. References to filming, coverage and equipment in Sections 1–7 apply to Director's Cut and Double Feature, where the Videographer personally attends and films. Pass the Camcorder is governed separately in Section 16.

1.3 The standard filming service covers the wedding day from preparations through to dancing, usually for approximately 8 hours, unless otherwise agreed on the booking form.

1.4 Coverage will generally begin approximately one hour before the ceremony, although the exact start time will be agreed in advance.

1.5 The final highlights film will be approximately 5–10 minutes long, depending on the events and footage captured on the day. A separate, longer compilation of the day's footage is also included — see Section 4, Full Camcorder Cut.

1.6 The final highlights film is set to music. It is not a full recording of the wedding ceremony, speeches or other individual events.

1.7 The Videographer does not record full ceremonies, full speeches, full readings or other events from beginning to end.

1.8 The purpose of the highlights film is to capture atmosphere, candid moments, reactions, dancing, laughter, details and the general feeling of the day rather than to provide a comprehensive documentary record of everything that happened.

2. AUDIO

2.1 The Videographer uses a shotgun microphone as part of the standard service. This is used to help focus and narrow down the direction from which sound is picked up — it is not used to amplify or professionally record audio. No dedicated audio recorders or other professional sound recording equipment are used.

2.2 The main highlights film is primarily set to music, professionally licensed via Lickd (or an equivalent licensed music platform) — see 2.4 below for how the track is chosen.

2.3 Where ambient sound or naturally occurring spoken words (such as parts of vows, speeches, readings or conversation) are picked up with sufficient quality via the shotgun microphone or camcorder, they may be kept in the main film. Where included, this reflects only what was naturally captured in the moment — the Videographer does not creatively edit, cut together or "weave" spoken audio from different points of the day into an artificial sequence.

2.4 The Client may choose a track for the main film from Lickd's licensed music catalogue, provided they do so no later than one week before the wedding. If no choice is made by that time, the Videographer will select suitable licensed music.

2.5 The Client understands that audio is not professionally recorded and that no particular audio, speech, vows or spoken words are guaranteed to be included.

2.6 The Client should not book any Camcorder Weddings package on the expectation that they will receive a recording of their vows, ceremony, speeches or other spoken content.

3. INSTAGRAM REEL

3.1 Every Camcorder Weddings package includes a 1-minute vertical Instagram Reel.

3.2 The Reel will be edited from footage captured during the wedding day and delivered in a format suitable for social media.

3.3 The Reel is a creative highlights edit and is not a separate record of the full wedding.

3.4 The Videographer retains creative discretion over the selection, order and editing of footage used in the Reel.

3.5 Unlike the main highlights film, the Reel is not set to music. It will include only the ambient sound naturally captured on the day (or no audio, where none of sufficient quality was captured). This is so the Client is free to add their own choice of music or soundtrack when sharing the Reel.

3.6 Delivery of the Reel is faster than the main film:

  • For Director's Cut and Double Feature, the Reel will be delivered the day after the wedding.
  • For Pass the Camcorder, the Reel will be delivered the day after the Videographer receives the camcorders back from the Client.

3.7 The Client is welcome (though not obliged) to tag @retrocamcorderfilms when sharing the Reel or the finished film on social media.

4. FULL CAMCORDER CUT

4.1 In addition to the edited highlights film (Section 1) and Instagram Reel (Section 3), every package includes a Full Camcorder Cut.

4.2 The Full Camcorder Cut compiles all usable footage captured on the day into one continuous film, with clear mistakes removed (such as accidental recording, extended blank or unusable footage, and duplicate or redundant segments).

4.3 The Full Camcorder Cut is not set to music and is presented largely in the order it was captured, without the creative editing, restructuring or storytelling applied to the main highlights film.

4.4 Where the Client would prefer not to receive the Full Camcorder Cut as a single compiled film, they may instead request delivery of the underlying footage as a folder of individual video files, at no additional cost. This request should be made to the Videographer in writing before editing begins.

4.5 The Full Camcorder Cut (or folder of files, where requested) will be delivered alongside the main highlights film, within the timescales set out in Section 13.

5. THE CAMCORDER AESTHETIC

5.1 The Client acknowledges that the intentionally imperfect nature of consumer camcorder footage forms an essential part of the service.

5.2 The final footage may include camera shake, wobbly movement, zooming, imperfect focus, exposure changes, grain, digital noise, blown highlights, low-light noise, camera artefacts and other characteristics associated with older consumer video cameras.

5.3 These characteristics are intentional and are not considered faults or failures of the service.

5.4 The Videographer has full creative and artistic licence over the way the footage is filmed and edited.

6. LOW LIGHT AND CEREMONY LIGHTING

6.1 This section applies where the Videographer is personally filming (Director's Cut and Double Feature). For lighting under Pass the Camcorder, see Section 16.

6.2 Camcorders of the type used by Camcorder Weddings perform differently from modern professional cinema cameras, particularly in very dark environments.

6.3 Where the ceremony or another part of the wedding is too dark for the camcorder to produce usable footage, the Videographer may need to use a small panel light.

6.4 The Client acknowledges and accepts that this may be necessary to obtain usable footage.

6.5 The Videographer will use reasonable discretion to position and use any additional lighting as unobtrusively as possible.

6.6 The use of a panel light does not constitute a failure to provide the service and is part of the practical requirements of filming with consumer camcorders in dark environments.

7. COVERAGE AND REQUESTED MOMENTS

7.1 The Videographer will use reasonable endeavours to capture a varied selection of moments throughout the agreed coverage period.

7.2 The Client may provide suggestions of particular people, moments or parts of the day that they would especially like captured.

7.3 Specific shots, people, reactions, interactions or moments cannot be guaranteed.

7.4 During Director's Cut and Double Feature coverage, the Videographer may hand their second camcorder to guests at points during the day so they can capture additional footage from their own perspective. This is done at the Videographer's discretion, and footage obtained this way is treated the same as footage captured directly by the Videographer.

7.5 The Videographer cannot be held responsible for missed footage caused by timing, weather, venue restrictions, poor lighting, guests obstructing the camera, changes to the wedding schedule, restricted access or circumstances outside the Videographer's reasonable control.

7.6 Due to the highlights-based nature of the film, not every guest, moment or part of the day will necessarily appear in the final film.

8. PACKAGES

8.1 Camcorder Weddings is offered under three packages, as agreed on the booking form:

8.2 Director's Cut — the Videographer personally films the wedding day as described in Section 1, and edits the footage into the finished highlights film, Full Camcorder Cut and Instagram Reel. Total package price: £950.

8.3 Double Feature — the Videographer personally attends and captures both photographs and film footage of the wedding day, and edits the footage into the finished highlights film, Full Camcorder Cut and Instagram Reel. Total package price: £2,500.

8.4 Pass the Camcorder — the Client hires two camcorders from the Videographer and films the wedding day themselves. The Videographer edits the Client's supplied footage into the finished highlights film, Full Camcorder Cut and Instagram Reel. Total package price: £500. Hire terms are set out in full in Section 16.

9. BOOKING FEE AND DEPOSITS

9.1 Director's Cut and Pass the Camcorder: the full package price must be paid in full at the time of booking to confirm and secure the Client's wedding date. There is no partial deposit option for these packages.

9.2 Double Feature: a deposit of £500 (of the total £2,500 package price) is required at the time of booking to secure the Client's wedding date. This deposit is non-refundable after the cooling-off period described in Section 18, except where otherwise required by law.

9.3 Any payment that may become due under Section 16 in respect of damage to hired camcorders is separate from, and not a substitute for, the amounts due under this section, and is not treated as a refundable deposit.

10. PAYMENT

10.1 Director's Cut and Pass the Camcorder: as set out in Section 9.1, the full package price is paid at the time of booking, and no further balance is due.

10.2 Double Feature: the remaining balance of £2,000 is payable no later than 4 weeks before the wedding date. The Videographer will send the Client an invoice for this balance.

10.3 Payment may be made by bank transfer using the details provided on the invoice or booking form.

10.4 If the Double Feature balance is not received by the due date, the Videographer reserves the right not to provide the services until payment has been received, or to treat the contract as cancelled by the Client.

11. ADDITIONAL COVERAGE

11.1 Additional coverage may be requested subject to the Videographer's availability.

11.2 Any additional coverage agreed before the wedding will be charged at the Videographer's current applicable rate.

11.3 Additional coverage requested on the wedding day cannot be guaranteed but will be accommodated where reasonably possible.

11.4 Any additional fee for coverage added on the wedding day will be payable no later than 14 days after the wedding.

12. TRAVEL

12.1 This section applies to Director's Cut and Double Feature, where the Videographer personally attends to film. It does not apply to Pass the Camcorder, which is fulfilled by post (see Section 16).

12.2 Weddings outside South East England may incur an additional travel fee.

12.3 Weddings within Greater London may also incur an additional fee, reflecting travel time and logistics.

12.4 The amount of any travel fee depends on the distance and location involved and will be agreed with the Client in advance.

12.5 For weddings abroad, flights, accommodation, transfers, car hire and other necessary travel expenses are not included unless specifically stated on the booking form.

13. DELIVERY OF FILMS

13.1 The finished highlights film and Full Camcorder Cut will be delivered digitally within 2 weeks of the wedding (Director's Cut and Double Feature), or within 2 weeks of the Videographer receiving the camcorders back (Pass the Camcorder), provided the footage is accessible for editing. The Instagram Reel is delivered separately and sooner, per Section 3.6.

13.2 Delivery will normally be via an online gallery, download link or other suitable digital delivery method.

13.3 The Client is responsible for downloading and safely storing their finished films once delivered.

13.4 The Videographer cannot guarantee permanent online storage and recommends that the Client keeps their own backup copies.

14. COPYRIGHT AND USE OF THE FILM

14.1 Copyright in all footage and films created by the Videographer remains the property of the Videographer in accordance with the Copyright, Designs and Patents Act 1988.

14.2 The Client is granted a personal, non-exclusive licence to download, keep and share the completed highlights film, Full Camcorder Cut and Instagram Reel for personal use.

14.3 The Client may share the finished films on personal social media accounts.

14.4 The Client may not sell, commercially license, substantially alter or commercially exploit the footage without written permission from the Videographer.

14.5 The Client may not apply filters, colour grading or other alterations that materially change the finished highlights film or Full Camcorder Cut and present the altered version as the Videographer's work. For the avoidance of doubt, adding the Client's own choice of music to the Instagram Reel as contemplated in Section 3.5 is permitted.

15. RAW FOOTAGE

15.1 Raw and unedited footage beyond the Full Camcorder Cut (or folder of files, where requested under Section 4.4) is not included in the standard service.

15.2 The Videographer is not required to provide unused, rejected footage that has been excluded from the Full Camcorder Cut as a clear mistake under Section 4.2.

15.3 The Videographer may delete unused footage once the final films have been delivered and a reasonable period has elapsed. For Pass the Camcorder, this includes the footage supplied by the Client once the finished films have been delivered.

16. PASS THE CAMCORDER (CAMCORDER HIRE OPTION)

16.1 Under the Pass the Camcorder package, the Client receives two camcorders for a total package fee of £500, and films their own wedding day. The Videographer edits the footage supplied by the Client into the finished highlights film, Full Camcorder Cut and Instagram Reel, as described in Section 17.

16.2 No refundable deposit is charged for this package. Instead, any charge for damage to the equipment is dealt with under 16.16–16.18 below.

Packaging

16.3 The two camcorders are supplied in a protective case, which is itself shipped inside an outer cardboard box for transit.

16.4 The Client must retain both the protective case and the outer cardboard box for the duration of the hire, for use when returning the equipment.

Batteries

16.5 Each camcorder will be supplied with one fully charged battery fitted, together with two spare batteries provided for use across the hire period.

Delivery and return timings

16.6 The Client has full use of both camcorders for three days: the day before the wedding, the wedding day itself, and the day after the wedding.

16.7 Delivery is arranged for the day before that period begins (i.e. two days before the wedding), to allow for transit. Collection is arranged for the day after that period ends (i.e. two days after the wedding), again to allow for transit.

16.8 For example, for a Saturday wedding: the camcorders would typically be delivered on the Thursday (transit day), used by the Client on Friday, Saturday and Sunday, and collected on the Monday (transit day).

16.9 Delivery and collection are arranged by the Videographer via Royal Mail (or an equivalent tracked courier), to and from the Client's address, unless Section 16.12 applies.

16.10 The Client must be present at the address to receive and sign for delivery of the equipment.

16.11 The Client must be present at the address to hand over and sign for collection of the equipment.

16.12 Delivery to, or collection from, the wedding venue instead of the Client's home address is possible only where the venue has given explicit agreement to receive, hold and release the equipment. It is the Client's responsibility to obtain this agreement from the venue in advance and to confirm it to the Videographer before delivery is arranged.

16.13 Unless otherwise agreed, the Videographer's address for these purposes is: 17 Geers Wood, Heathfield, East Sussex, TN21 0AR.

Client responsibility and condition of equipment

16.14 The Client is responsible for the camcorders from the time of delivery until they are confirmed received back by the Videographer.

16.15 The Client must take reasonable care of the camcorders, must not intentionally misuse, modify, dismantle or attempt to repair them, and must not expose them to rain, moisture or other liquids — the camcorders are not waterproof.

16.16 The camcorders are supplied as a deliberately simple, handheld filming solution. No microphones, tripods, stabilisers or lights are included. This is intentional and forms part of the informal, wobbly and nostalgic aesthetic of the Camcorder Weddings service.

16.17 The Client acknowledges that footage captured using the hire camcorders will vary in quality depending on lighting, camera handling, battery life, camera settings and other conditions on the wedding day.

16.18 Equipment will be inspected by the Videographer on return. Normal wear and tear resulting from reasonable use — including minor cosmetic marks or scratches — is acceptable and will not result in any charge to the Client.

16.19 The Client is responsible for the reasonable cost of repairing or replacing equipment damaged beyond normal wear and tear (including major scratches, cracks, broken or missing parts, liquid or water damage, or damage caused by misuse or negligence), or for equipment that is lost, stolen or not returned. This cost is capped at a maximum of £300 regardless of the actual repair or replacement cost.

16.20 Where any repair or replacement payment is due under 16.19, the Videographer will not deliver the finished films edited from the Client's footage until that payment has been received in full. The Videographer will act reasonably and fairly in assessing any damage and will provide the Client with details of the charge.

Guests and other suppliers

16.21 The Client's guests may use the camcorders to capture additional footage. The Videographer is not responsible for guests, or the camcorders, obstructing or getting in the way of the couple's main photographer or videographer (where separately booked) — this is the Client's responsibility to manage.

Liability for footage and light

16.22 Because filming under this package is carried out solely by the Client using the hired equipment, and is entirely outside the Videographer's control, the Videographer shall have no liability if all or any of the footage captured is lost, corrupted, too dark to see, or otherwise unusable for any reason. No professional lighting is supplied as part of this package (see 16.16).

17. HIRE FILM EDITING

17.1 Pass the Camcorder includes the Videographer editing the footage captured by the Client into a finished wedding highlights film, Full Camcorder Cut and Instagram Reel.

17.2 The finished highlights film will be approximately 5–10 minutes long, depending on the footage supplied.

17.3 The highlights film will be set to music, professionally licensed via Lickd (or an equivalent platform). The Client may choose a track no later than one week before the wedding; if no choice is made by that time, the Videographer will select suitable licensed music. The Full Camcorder Cut and Instagram Reel are not set to music, per Sections 3.5 and 4.3.

17.4 The same audio limitations described in Section 2 apply to hire footage: the cameras do not provide professional audio recording and no full ceremony, speeches or other spoken content are guaranteed.

17.5 The final edit will be based on the footage supplied by the Client. The Videographer cannot create footage that was not captured by the Client.

17.6 The Videographer retains creative discretion over the selection and editing of the footage.

17.7 The films will be delivered within 2 weeks of the Videographer receiving the footage back, per Section 13.1, provided the footage is accessible for editing. The Reel will be delivered per Section 3.6.

18. CANCELLATION BY THE CLIENT

18.1 The Client has a 14-day cooling-off period after booking, during which they may cancel and receive a refund of monies paid, subject to applicable law.

18.2 After the cooling-off period, any deposit or full payment already made is non-refundable, save as set out below.

18.3 If the Client cancels after paying the full package price, no refund will ordinarily be due.

18.4 Where cancellation occurs less than 60 days before the wedding date, the Client shall remain liable for 75% of the total package price, less any deposit or other payments already made, unless otherwise agreed by the Videographer.

18.5 This sum represents a reasonable estimate of the loss the Videographer may suffer by reserving the date and potentially declining other work.

18.6 If the Videographer is able to re-book the date, the Videographer may, at their discretion, refund some or all of the amount paid, less any reasonable costs already incurred.

18.7 Cancellation does not affect the Client's obligations under Section 16 in respect of any hired camcorders already in their possession, which must still be returned in accordance with Section 16.

19. POSTPONEMENT

19.1 If the Client needs to postpone their wedding, the Videographer will make reasonable efforts to transfer the booking to the new date.

19.2 A transfer is subject to the Videographer's availability.

19.3 If the new date is available, the booking may be transferred at the Videographer's discretion.

19.4 If the new date is unavailable, the postponement will be treated as a cancellation and the cancellation terms in Section 18 will apply.

20. CANCELLATION BY THE VIDEOGRAPHER

20.1 In the unlikely event that the Videographer is forced to cancel due to serious illness, injury, death or other circumstances beyond their reasonable control, liability will be limited to a refund of monies paid to date.

20.2 The Videographer will use reasonable endeavours to find a suitable replacement where possible.

20.3 If an appropriate replacement is found, the Client may choose to accept the replacement or receive a refund of monies paid.

20.4 The Videographer cannot guarantee that a suitable replacement will be available at short notice or that they will provide exactly the same equipment, style or service.

21. EQUIPMENT FAILURE AND LOSS OF FOOTAGE

21.1 This section applies to Director's Cut and Double Feature, where the Videographer films using their own equipment. For Pass the Camcorder, liability for lost, unusable or too-dark footage is instead excluded entirely under Section 16.22.

21.2 The Videographer will take reasonable precautions to protect recorded footage.

21.3 However, the Client acknowledges that electronic equipment and digital media can fail and that footage may, in exceptional circumstances, be corrupted, lost or rendered unusable despite reasonable precautions.

21.4 In the unlikely event of total or substantial loss of footage, the Videographer's liability will be limited to the total amount paid by the Client under this contract.

21.5 Neither party shall be liable for indirect or consequential loss.

22. ARTISTIC LICENCE

22.1 The Client grants the Videographer full creative and artistic licence regarding filming style, camera movement, framing, locations, subjects, editing, music and final film selection, insofar as the Videographer is the one filming (Director's Cut and Double Feature) or editing (all packages).

22.2 The Client acknowledges that the final films will reflect the Videographer's established creative style.

22.3 The Videographer's final creative judgement regarding the selection and editing of footage shall be deemed correct.

23. VENUE AND CEREMONY RESTRICTIONS

23.1 The Videographer will comply with reasonable instructions and restrictions imposed by the venue, registrar, celebrant, church or other authority.

23.2 Such restrictions may affect the footage captured, and may also affect whether a venue is able to accept delivery or collection of camcorders on the Client's behalf under Section 16.12.

23.3 The Videographer cannot be held responsible for reduced or missed coverage resulting from restrictions imposed by a venue or ceremony location.

24. WEATHER AND OUTDOOR FILMING

24.1 The Videographer may continue filming outdoors in light or moderate adverse weather where it is reasonably safe to do so.

24.2 The Videographer may stop or alter filming where conditions present a risk to the Videographer, equipment or others.

24.3 Weather may affect the amount of outdoor footage captured. For Pass the Camcorder, decisions about filming in adverse weather are made by the Client, who is responsible for keeping the equipment dry at all times (see 16.15).

25. GUESTS AND THIRD PARTIES

25.1 The Client is responsible for informing their guests and relevant participants that filming will take place.

25.2 The Videographer will make reasonable efforts to respect any individual who specifically asks not to be filmed.

25.3 Due to the candid and documentary nature of the service, the Videographer cannot guarantee that every person appearing incidentally in the background of footage can be identified or removed.

25.4 For Pass the Camcorder, guest use of the camcorders and any interaction with other suppliers is addressed in Section 16.21.

26. MODEL RELEASE AND PROMOTIONAL USE

26.1 The Client grants the Videographer permission to use footage containing the Client for promoting Camcorder Weddings, including on its website, social media, advertising, editorial features and promotional materials.

26.2 The Videographer will not knowingly use footage in a deliberately derogatory or damaging manner towards the Client.

26.3 If the Client does not wish their footage to be used for promotional purposes, they should notify the Videographer in writing before the wedding.

27. DATA PROTECTION

27.1 The Videographer will process the Client's personal information for the purposes of administering the booking, providing the contracted services, communicating with the Client and complying with legal and accounting requirements.

27.2 Personal information will not be sold to third parties.

28. LIMITATION OF LIABILITY

28.1 In the unlikely event of total filming failure, cancellation or loss of footage, whether caused by negligence or otherwise, the liability of one party to the other shall be limited to the total value of the contract, except where such limitation is not permitted by law and except as provided in Section 16.22 (Pass the Camcorder footage loss, where liability is excluded entirely).

28.2 Neither party shall be liable for indirect or consequential loss.

28.3 Camcorder Weddings operates as a trading name of Anna Pumer Photography Ltd. Any liability arising under this contract is limited to, and enforceable against, Anna Pumer Photography Ltd.

29. CLIENT DECLARATION

By signing the booking form by adding their names and date below the link to these terms, and by paying the amount applicable to their chosen package under Section 9, the Client confirms that they have read, understood and agree to be bound by these terms and conditions.

The Client wishes to book the services of Camcorder Weddings for their wedding day.
